The “Phone numbers” module is located in the “IP telephony” menu. This module is intended for assigning and working with the phone numbers of the ICS CUBE users. When you open the “Phone numbers” module, you will see a tree of groups and phone objects, as well as a search bar and function buttons (add, delete, disable, edit, send fax, import, export) that are activated when you select a group or number.
There are two groups of objects at the root of the tree: “Phone numbers” and “Phone book”. “Phone numbers” are intended for entering the internal telephone objects. The IP-addresses for which the numbers are registered and the users assigned to these numbers are displayed for “Phone number” objects. In addition to phone number, the “Fax” and “Conference” objects can be set in the ICS CUBE. You need to use “Number groups” to combine objects.
The “Phone number” object is intended for making calls via the telephony server. To add a phone number, click “Add” - “Phone number”. A dialog box will open with two tabs: “General” and “Codecs”; and the “General” tab will be active.
The “General” Tab. To create an object, you will be asked to enter a “Number” (required parameter) and a “Password” (optional parameter). Password can be generated automatically by clicking on the button in the right side of the field.
The “Description” field is intended for giving a brief description of the phone number, which will be displayed in the telephony rules, call log next to the corresponding number, and will also be used as CallerID.
The “Timeout” field allows you to set the period of time after which the telephony server will consider the subscriber as not answering the call. By default, this parameter is set in the “Settings” module of the “IP telephony” menu.
The “Maximum number of connections” field defines the number of channels that the number can use.
The “User” field is mandatory. It shall be used to select the ICS CUBE user, to which the number will be attached.
The “Allow to connect from outside” flag determines whether a number will be available for connection from external networks.
Important: if you have set the “Allow to connect from outside” flag for a phone number, we recommend setting a complex password so that it is not figured out by hackers.
The “Send notification about missed calls to mail” and “Send voice mails to mail” flags activate fields for specifying the appropriate addresses.
In the “Mode” field, you can choose whether to encrypt sip packages and media data (RTP) for this number using the certificate selected on the general telephony settings tab; there are two possible connection options without encryption:
To enable encryption, select the “Use encryption (TLS and SDES-sRTP)” value in the “Mode” field. This value activates simultaneous encryption of SIP signaling via TLS and sRTP media data.
Each type of connection requires a corresponding configuration of its transport means, which is set in the “IP telephony” menu in the “Settings” tab.
The “Xphone” flag is used to access the internal number of the xphone web softphone.
Attention! Once the “Xphone” flag is set, access to the number will only be available for the xphone web softphone. This number will not be available for all other sip phones, since xphone uses only DTLS-sRTP media data encryption, so the extension number is configured using only this type of encryption.
The “Codecs” tab. By default, the codecs specified in the “Settings” module of the “IP telephony” menu are used. When you set the “Set manually” flag, a field will be activated where you can specify the codecs required for this number by selecting them from the list of available ones.
It should be noted that if video calls are made from this number, at least one of the following codecs must be selected: VP8, VP9, H.264.
If the DNS zone was not created (with the corresponding records) in relation to the system name, and the first phone number is created, then the ICS CUBE will offer to create the corresponding records.
The “Fax” object is used for receiving faxes to the specified number and saving them in TIFF format in the File storage folder.
To add a fax, click “Add” - “Phone fax number”. A dialog box will open in which you will be asked to enter two required parameters: “Fax number” and “Source”.
The “Description” field is intended for giving a brief description of the number that will be displayed in the telephony rules and call log next to the corresponding number.
The “Send to email” flag activates the field for entering the address to which TIFF files will be duplicated.
Please note that the module has a “Send fax” button for sending a fax to an external number, which is active regardless of the object selected in the tree. When you click on it, a dialog box will open, in which you will be asked to select a document to be sent, a provider and enter the number to send the file to.
The “Conference” object is designed to determine the phone number, by calling on which, each subscriber will hear all connected subscribers that have also called to this number.
To add a conference, click “Add” - “Conference”. A new dialog box will open, where you will be asked to enter the required parameter - “Number”. The “Number of participants” field allows you to determine whether to limit the number of participants, or select values from 2 to 9999.
The “PIN-code” field allows you to set a numeric code for accessing the conference. You can select a value from 1 to 9999.
The “Announce the number of participants” flag determines whether to notify the caller of the number of users in the conference.
The “Play first member announcement” flag is used to announce to the users that they are entering an empty conference.
The speaker's language depends on the selected system language in the ICS CUBE.
The “Call Recording” flag determines whether to record the conference audio call.
By default, the following DTMF menu is available to all conference participants: 1. turn off your microphone 2. exit the conference 3. reduce the volume of incoming audio 4. return volume to default value 5. increase volume
The “Admins” field is intended for specifying numbers of the ICS CUBE users that will be conference administrators. An extended DTMF menu is available for the administrator during the conference: 1. turn off your microphone 2. exit the conference 3. reduce the volume of incoming audio 4. return volume to default value 5. increase volume 6. become the only video source 7. cancel the previous item 8. close/open the conference 9. delete the last logged participant from the conference
The “Leading” field is intended for specifying numbers of the ICS CUBE users that will be the video signal sources for all other participants of the conference, if the video mode “Last lead presenter” or “First lead presenter” are selected. Also, the host status allows you to start a conference if the “Wait for the lead to enter before joining a conference” flag is set.
An extended DTMF menu is available for the host during the conference: 1. turn off your microphone 2. exit the conference 3. reduce the volume of incoming audio 4. return volume to default value 5. increase volume 6. become the only video source 7. cancel the previous item
The “Wait for the lead to enter before joining a conference” flag determines whether regular users who log in to the conference are going to wait until at least one host joins the conference. As soon as the host logs in, the conference starts, and all participants begin to hear each other.
The “Video mode” field is used to configure how video is distributed among conference participants. Video conference participants shall use the same video codec.
The “Phone group” object is intended for combining telephone numbers, faxes, and conferences into groups that can be used as objects in telephony rules.
To add a number group, click “Add” - “Phone group”. A dialog box will open where you will be asked to enter “Name” (required parameter). Please note that previously created numbers, faxes, and conferences can be moved to the desired group by simply dragging the corresponding entry to the desired position in the list.
Telephony number grouping affects the “Interception within the group” function. For more information, see the “Settings” section.
“Phone book” is an object of the table of telephone numbers intended for numbers entered in the ICS CUBE, but not the internal ones.
Phone numbers of incoming calls to the ICS CUBE from external channels are compared with this address book. If the incoming number is in this book, the name will be transferred as CallerID to the destination device.
If you select the “Phone book” line in the table of numbers and click “Add”, you will be prompted to add “Phone book record” or “Organization”.
When you select “Phone book record”, a new dialog box will open, in which you need to enter the phone number of a subscriber who is not part of the ICS CUBE participants (external subscriber number), as well as enter a description. When a call is received or made to such a subscriber, the phone number and the specified description will be displayed in the call log.
To combine external subscribers into a group, click “Add” - “Organization”, and a new dialog box will open, in which you need to specify the name of the created group.
Please note that previously created phone book numbers can be moved to the desired group by simply dragging the corresponding entry to the desired position in the list.
When you select “Phone book” objects, the “Import” and “Export” function buttons are activated.
When you “Export” the phone book, a file will be created in the following format: ics-<date-time>-phonebook.txt. JSON is the data format in the *.txt file. Please note that only phone numbers added to the phone book are exported. Internal ICS CUBE numbers are not exported. To import telephone numbers, you should use a file, the data format of which corresponds to the data format during export, or that has the following format: “telephone number, description” and each new subscriber is presented in a new line. In the latter case, the numbers will be imported to the root of the phone book.
